Fees

 

Events Requested at the Headquarters Hotel

 

ASHG does not charge a fee for educational/ancillary/exhibitor events held at the headquarters hotel (the San Diego Marriott Hotel and Marina). However, after room assignment, there will be costs from the hotel, which may include a room rental fee. It is up to you as the organizer to negotiate rental fees with the hotel. The hotel will also charge for audiovisual equipment, catering, and labor. You will be asked by the hotel to sign a contract. Please read the contract carefully before signing.

 


 

Events Requested at the Convention Center (limited availability)

 

Education/Exhibitor events are defined as events that include formal presentations, speakers, equipment demonstrations, and/or procedural instruction. Meeting space in the convention center on peak days during the lunch period is very limited.  To help defray costs, ASHG will charge commercial exhibitors a fee of $5,000 for events requested at the convention center during the lunch time period, Sunday, October 19; Monday, October 20; and Tuesday, October 21. Assignment of time slots and room locations will be based on a point system.

 

The $5,000 fee (commercial exhibitors only) includes:

 

  • Convention center room rental
  • Room set theater style*
  • Head table for 3, lectern, screen, data projector, and lectern microphone. Additional audiovisual needs will be at a cost to the organizer
  • A complimentary ancillary event link from the schedule of events

     

*Room set change requests will be considered on a case by case basis. Available rooms cannot accommodate more than 200 attendees in a theater style setting.

 

The fee does not include: food and beverage, signage, labor, or additional audiovisual requirements.

 

Fees are non refundable after July 5, 2014. If an event is cancelled on or prior to July 5, the full amount will be refunded, minus a $150 administrative charge.

 


 

Alumni Receptions, Committee Meetings, Business Meetings Requested at the Headquarters Hotel or the Convention Center

 

ASHG does not charge a fee for receptions, committee meetings, business meetings, etc., held at the headquarters hotel or the Convention Center. However, after a room assignment has been made, the hotel may charge a fee for room rental. The hotel and convention center will also charge for audiovisual equipment, catering, and labor. You will be asked by the hotel to sign a contract. Please read the contract carefully before signing.
