Exhibiting companies are required to staff
their exhibit booths at all times when the
exhibit hall is official open.
A commercial exhibitor will be permitted to
register up to six (6) employees of the
company for each 10' x 10' booth space
reserved. It is the responsibility of the
authorized individual signing the
application for space to inform all company
personnel of the rules and regulations
contained in this prospectus.
Specific authorization must be obtained from
Exhibit Management if an exhibiting
company's allotted number of personnel is to
be exceeded. Such requests, detailing the
unique circumstances causing the allotment
to be inadequate, should be made to Exhibit
Management in writing prior to the opening
date. Spouses of exhibitor representatives
may obtain a temporary badge when escorted
by the representative and showing
appropriate identification.
Exhibitor badges do not allow or authorize
attendance at ASHG Annual Meeting scientific
sessions or social events. If an exhibitor's
employees wish to attend scientific sessions
above and beyond the Exhibitor's scientific
session tickets (two [2] tickets per each
10' x 10' space, i.e., each ticket entitles
one person to attend one invited or platform
session), they are required to register as a
regular scientific registrant and pay the
standard registration fee. Scientific
session tickets for exhibit personnel can be
requested online or by contacting Toney
Vogel at
tvogel@ashg.org for instructions.
The Exhibitor Registration Desk will be open
during installation, exhibit hours and
dismantling of exhibits. Exhibitors must
have a badge to enter the exhibit area.
Exhibiting companies will be given the
opportunity to register their
representatives online in advance of the
meeting. Exhibit representatives registered
online will receive their badges by mail if
their online registration is completed by
Friday, October 10, 2008. All
representatives registered after October 10,
2008, will be required to pick up their
badges on site. Badges for exhibit
representatives residing outside the U.S.
must be picked up on site at the Exhibitor
Registration desk in the Pennsylvania
Convention Center, Exhibit Hall C.
Exhibitor representatives that are not
registered in advance of the show must
produce a business card of the exhibiting
company that they represent. The card must
have their name printed on it, and they must
also display a positive form of ID (e.g.,
driver’s license, military ID, etc.) to
obtain a badge.
A departing representative turning in his or
her badge at the Exhibitor Registration Desk
can facilitate rotation of exhibitor's
personnel and a new badge will be issued to
his or her replacement.
