Instructions for Poster Presentations

By following the important guidelines below, your presentation will go smoothly. Please read all information carefully BEFORE coming to the meeting.

Before traveling to the meeting

 

In case your poster is lost during transit to the meeting, we suggest poster authors bring a smaller version of their presentation on 8½”x11" paper or bring a copy of the presentation on a USB drive so that it can be printed on site.


Posters will be displayed in Exhibit Hall C of the Pennsylvania Convention Center from Wednesday, November 12 through Friday, November 14. Please review the schedule outlined below.
 

Your assigned poster board number is the same as your program number indicated at the Abstract Assignment website and in meeting publications. Changes in the time or date of poster assignments cannot be made.

 

If you are unable to attend the meeting, we encourage you to find another author to present your work. If this is not possible, contact paulinem@ashg.org as soon as possible so that we can place a notice on the board. 
 

Each author will share a board with another author, and each will have a useable area measuring 2'10" (86.36 cm) wide x 3'8" (111.8 cm) high. This is a portrait/vertical format. Poster materials may not extend outside the assigned half-board. Click on the “preparing effective posters” link above for further instructions.
 

Mount your poster between 10:30AM and 12:30 PM on Wednesday, November 12. Posters should remain up until Friday, November 12 at 12:30 PM. For safety and security reasons, poster authors cannot be admitted to the Exhibit/Poster Hall before 10:30 am (no exceptions can be made) on Wednesday. If you need to remove your poster early, please place a note on the board with your reason for removing the poster. 

 

To encourage discussion and to facilitate the exchange of information, posters are sorted by related topics, keyword (selected by the first author at the time of abstract submission and used to group poster presentations with a related theme), and then in alphabetical order by the last name of the first author.

 

Poster presenters must remain at their boards for the full duration of their scheduled presentation times.

Wednesday, November 12

10:30 am-12:30 pm

   Poster authors place posters on boards (Please remember to bring push pins)

10:30 am-6:30 pm

   Posters open

4:30 pm-6:30 pm

   Poster Session I (“W” poster authors must be present)
 
Thursday, November 13

7:30 am-6:30 pm

   Posters open

4:30 pm-6:30 pm

   Poster Session II (“T” poster authors must be present)
 
Friday, November 14

7:30 am-1:30 pm

  Posters open

10:30 am-12:30 pm

   Poster Session III (“F” poster authors must be present)

12:30 pm-1:30 pm

   Authors remove posters from boards.
IMPORTANT NOTE: Posters not removed during this time frame will be removed from the boards by the cleaning crew and may be discarded. For safety reasons, authors will not be allowed back into the exhibit hall once it closes.

1:30 pm

  Exhibit Hall closes and will not reopen to registrants.

 


 

General Information

  • You must register and wear an official ASHG 2008 meeting registration badge to gain admittance at any time. Guests (i.e., friends, co-workers) are not permitted to come into the poster sessions.

  • All poster boards will be pre-numbered.Please be certain to mount your poster on the correct board.

  • Remember to bring your own pushpins (in your checked luggage). We will have a limited number of pushpins available at the meeting.

  • All posters must remain in place until 12:30 pm on Friday, November 14.  If you need to remove your poster early, please place a note on the board with your reason for removing the poster. 

  • All poster authors must remove their posters before 1:30 pm on Friday, November 14. The Exhibit/Poster Hall will close at 1:30 pm on Friday, November 14, for exhibitor and poster board move-out, and will not open again.

  • Posters and poster materials not removed by 1:30 pm on Friday will be removed by workmen and may be lost or discarded. ASHG staff and vendors cannot be responsible for posters or poster materials left on boards or left after the removal deadline.

  • There is no access to the Exhibit Hall after 1:30 pm on Friday, November 14. Exceptions cannot be made.

 


 

Computer/Video-Enhanced Poster Presentations


If you would like to use your laptop as part of your presentation, the most cost effective way to do this is to bring your own laptop (with full power) and utilize the chair at your board as a table.  The cost for an electrical connection and table is $200. If you wish to order an electrical connection and table, email Pauline Minhinnett, paulinem@ashg.org by October 3, 2008.
